Privacy Policy

This policy covers the Formula Cheer parent and coach app — the site you sign in to for schedules, attendance, team messages and billing. It is written in plain language on purpose. If anything here does not match what you expected, tell us and we will fix the practice or fix the page.

The short version

  • We collect what a cheer gym needs to run practices safely and bill correctly — nothing beyond that.
  • We do not sell your information, and we do not share it for advertising.
  • There are no advertising or analytics trackers on this site.
  • Your child does not have a login. The account belongs to you, the parent or guardian.
  • Other families cannot see your child’s date of birth, medical notes, contact details or your balance.
  • Ask us for a copy of your family’s information, or ask us to delete it, and we will.

Who is responsible for your information

What we collect

About you, the parent or guardian: your name, email address, phone number, and your home address if you give it to us. You can add a profile photo; you do not have to.

About your athlete: their name, date of birth, gender, skill level and cheer positions; the emergency contact you give us (name, phone number and their relationship to your child); and — because a coach may need it on the floor in a hurry — allergies and any medical notes you choose to share. You can add a photo of your athlete; you do not have to.

About taking part: which teams and classes your athlete is enrolled in, attendance for each practice (including a coach’s note on an absence), messages sent in team channels, and documents you sign through the app such as the waiver, medical clearance and photo release.

About money: tuition and fees charged, payments, credits and refunds. Card numbers are handled by our payment processor and are never stored by the gym — see “Payments” below.

Technical records: when a staff member makes a change to a family, athlete or payment record, we log who made it, when, what changed, and the IP address and browser it came from. This is a safety and accountability record — it is how we can answer “who changed this?” about your child’s information or your bill. We also receive automatic error reports when something in the app breaks.

Children

Almost everyone we hold information about is a child, so this matters more here than on most sites.

  • Children do not have accounts and cannot sign in. There is no login, no profile and no messaging for athletes. Every account belongs to an adult.
  • We collect a child’s information from their parent or guardian, never from the child directly, and only what the gym needs to coach them safely and bill you correctly.
  • A child’s date of birth, medical notes, allergies and emergency contacts are visible to gym staff only — never to other families.

Who can see what

  • You see your own family: your athletes, your schedule, your attendance and your balance.
  • Gym staff — coaches, admins and the owner — see the athletes and families at Formula Cheer, as needed to run practices and the gym’s books.
  • Other families see very little: a teammate’s first and last name, their positions and whether they are a captain. They do not see dates of birth, contact details, medical information, attendance or money.
  • Nobody outside the gym sees your family’s information. Some pages are public — the class schedule, programs and coach profiles — but those are about the gym, not about your family.

Photos and video

Team photos posted in the app are visible to the families of that team, unless a photo is deliberately marked as visible to everyone at the gym. Whether Formula Cheer may use a photo of your athlete more broadly — social media, the website, promotional material — is governed by the photo release you sign, not by this page. If you change your mind about that release, tell us and we will honour it going forward.

Payments

When card payments are switched on, they are processed by Stripe. Your card details go directly to Stripe and are never stored on Formula Cheer’s systems — the gym only ever sees the last four digits and the card brand. We keep a record of what was charged, paid, credited or refunded, because we have to.

As of the date at the top of this page, card payments are not switched on. No card details have been collected through this app and nothing has been charged through it. Tuition is still handled the way it always has been.

Companies that handle information for us

We use a small number of service providers to run the app. They process information on the gym’s instructions and are not permitted to use it for their own purposes.

  • Supabase — stores the database and uploaded files.
  • Vercel — hosts and serves the site.
  • Resend — sends the emails the app sends you.
  • Sentry — receives automatic error reports when something breaks.
  • Stripe — processes card payments, when they are switched on.

If you turn on browser notifications, your browser maker (Apple, Google or Mozilla) delivers them. We do not sell your information to anyone, and we do not share it with advertisers. We will only hand information to anyone else if the law requires it, or if it is genuinely needed to protect a child’s safety.

How long we keep it

We keep your family’s records while your athlete is with us, and for a period afterwards — payment and attendance history because we need it for the gym’s accounts and tax records, and signed waivers and medical forms because they are safety records. We do not keep things simply because we can.

If you want your family’s information deleted, ask us and we will, apart from the narrow set of records we are required to keep. We will tell you plainly what those are rather than being vague about it.

Your choices

  • See it or correct it. Most of your family’s details can be edited in the app. Ask us for anything you cannot see.
  • Get a copy. Email us and we will send you what we hold about your family.
  • Delete it. Ask, and we will, other than records we must keep.
  • Medical notes are optional. You choose what to share. Sharing less means coaches know less in an emergency, which is a real trade-off, but it is your call.
  • Notifications. You can turn off browser notifications any time, in the app or in your browser settings.

Keeping it safe

Access is restricted by role, so a signed-in parent can only reach their own family’s records and staff can only reach the gym they work at. These rules are enforced by the database itself, not only by the screens. Information is encrypted in transit. No system is perfect; if something goes wrong that affects your family, we will tell you rather than hope you do not notice.

Changes to this policy

If we change this page in a way that affects what we collect or who can see it, we will update the date at the top and tell families in the app. See also our Terms of Use.
